Job Purpose:
The Procurement Officer procures high-quality and cost-efficient supplies for the organization. The role requires following procurement procedures, maintaining an updated list of inventory and incoming purchases and supplies, and is responsible for coordinating all approved purchases.

Duties and Responsibilities:

  • Estimates and establishes cost parameters and budgets for purchases.
  • Creates and maintains good relationships with vendors/suppliers.
  • Maintains accurate records of purchases, pricing, and other important data.
  • Reviews and analyzes all vendors/suppliers, supply, and price options.
  • Develops plans for purchasing equipment, services and supplies.
  • Negotiates the best deal for pricing and supply contracts in accordance with the company’s procurement policy.
  • Ensures that the products and supplies are high quality and in line with stakeholder requirements.
  • Creates and maintains inventory of all incoming and current supplies.
  • Maintains and updates list of suppliers and their qualifications, delivery times, and potential future development.
  • Works with team members to complete duties as needed.
  • Prepares monthly reports detailing inventory on hand and variance in prices relative to quotations and contracts.

 

Qualifications and Experience

  • Bachelor’s degree in finance, accounting, or related field.
  • Enrolled in a professional procurement or logistics designation.
  • Five (5) years’ previous experience as procurement officer or related position.

 

Knowledge/Skills and Abilities

  • Solid knowledge and understanding of procurement processes, policy, and systems.
  • Proficient computer skills, including Microsoft Office Suite and inventory management systems.
  • Analytical and a problem-solver.
  • Excellent negotiator.
  • Knowledge of administering contracts.
  • Excellent communication skills.
  • Ability to multitask, prioritize, and manage time efficiently.
  • Accurate and precise attention to detail.
  • Ability to work well with management and staff at all levels.
  • Goal-oriented, organized team player.

 

Working Conditions

  • Normal conditions for a working environment with occasional exposure to the external environment.
  • May be required to work occasionally on weekends and after hours.
  • Travel may be required.
