Job Purpose:
To provide Human Resources support to management and employees in all areas of Human Resources.

Duties and Responsibilities:

  • Administer and execute human resource programs including but not limited to compensation, benefits, and leave; disciplinary matters; disputes and investigations; performance and talent management; productivity, recognition, and morale; occupational health and safety; and training and development.
  • Provide human resource consulting and support services to employees across the Group of Companies.
  • Support the recruitment and selection process by preparing job advertisements, planning interviews and other assessments, participating in interviews, assisting in selecting of successful candidates, and ensuring that all the requisite activities are executed in line with departmental policy and procedures, legal and regulatory requirements, and relevant Service Level Agreements.
  • Determine or calculate pay and allowances for new or promoted employees in line with organizational guidelines, and calculate annual employee incentive payments, or any other cash compensation
  • Review pension, life/medical, and other benefit programs on an agreed cycle and make recommendations on areas of possible improvement based on market conditions
  • Prepare payroll information to meet specified timelines and standards.
  • Advises and informs employees of changes and developments related to benefits including eligibility, coverage, and provisions.
  • Facilitates accurate and timely delivery of employer contributions and employee payroll deductions to carriers, plan administrators, or other appropriate service providers.
  • Provide management information reports relating to HR such as absence data, staff lists, payroll costs and work on requests for information, ensuring timely and accurate responses are provided.
  • Champion a culture of recognition by presenting to groups of managers and employees, organizing the monthly/quarterly/annual events and celebrations, developing awareness campaigns, and developing tactical communication plans to raise awareness.
  • Review policies annually and, in conjunction with the Employee Relations Officer, identify areas of opportunity for improvement within the legislative framework/context.
  • Support the employee relations function by providing an effective HR advisory service to employees in relation to absence and health issues, conduct and capability, grievance matters, organizational change, and all other employee-relations matters
  • Support the Performance Management Process by responding to queries managers and employees at various stages in the process including working with managers to get PDRs completed and submitted on time.
  • Support employee engagement survey(s) by assisting in the preparation of the survey, communicating with employees, and developing presentations to staff, management about the results and findings
  • Schedule, and facilitate smooth new hire onboarding process, including onboarding training sessions, and coordinating with cross-functional departments to deliver an exceptional first day and probationary experience, and monitoring performance during the probationary period
  • Conduct periodic training needs assessments and compile a log of training requests from the annual PDRs and budget process and feed that data into the annual training plan.
  • Conduct training and skill building sessions on several HR areas and conducting and reviewing training evaluation.
  • Prepare communications for client groups as well as maintain/improve the communication vehicle to all employees across the Credit Union group of companies.
  • Attend departmental meetings and visit departments and entities to present on a range of HR issues, thus raising visibility of the department.
  • Respond to employee grievances providing advice based on organizational policy and process
  • Conducts employee surveys, census, and other research and demographic efforts required to collect accurate quotes from benefit providers.
  • Support the Industrial Relations and disciplinary process through:
  • Ensure that polices, programmes are effectively rolled out using the process defined by the Group of Companies
  • Prepare reports, dashboards and updates as required
  • Ensure all electronic and physical files are maintained within established timelines.
  • Any other duties ancillary or related to the foregoing.

 

Qualifications and Experience:

  • Bachelor’s Degree in Human Resources Management or related area with at least 3 years’ related experience as an HR Officer.
  • Completed Chartered Accreditation from CIPD (MCIPD) or SHRM or from any equivalent body would be an asset.

 

Knowledge/Skills and Abilities:

  • Understanding and successful practice of contemporary Human Resources concepts.
  • Working knowledge and evidence of experience in the interpretation of labor laws and practices.
  • Knowledge of the Human Resource Information System (HRIS).
  • Excellent computer skills, particularly with the Microsoft suite of products.
  • Good understanding of compliance, audit and operational risk issues, as well as the accompanying, practices and policies.
  • Team player skills.

  • Proven ability to assimilate information from an expansive array of sources.

Working Conditions:

  • Working conditions are normal for an office environment.
  • Work may require occasional weekends and/or evening work.
  • May be required to travel for the effective functioning of this role.
